JOB DESCRIPTION

Seeking an organized, proactive Administrative Assistant to support reception, data entry, and provide personal assistance to Owner. This is a hands-on, diverse role involving client interaction, office management, and administrative tasks. Person must be very organized with an upbeat personality and able to work in a very fast pace environment.

Key Responsibilities:

  • Administrative Support: Answer phones, greet clients, manage emails, maintain the office (ordering supplies, tidying kitchen, etc.), and assist with general office tasks.
  • Data Entry: Enter and update client information into our client database system, ensuring accurate and up-to-date records.
  • Personal Assistant: Organize daily tasks, sort emails, book travel (flights, hotels, car rentals), prepare agendas, and ensure the advisor is fully prepared for meetings and appointments.
  • Client Interaction: Offer beverages, ensure client comfort, and maintain a welcoming office environment.

Qualifications:

  • Strong organizational skills and attention to detail.
  • Ability to multitask in a fast-paced setting.
  • Positive and professional demeanor with excellent communication skills.
  • Proficiency in Microsoft Office; experience with Red Tail Client Tracking Software is a plus.
